Remembering what members say. Movement studio, two locations, the Netherlands.

A two-location movement studio creates 'little win' experiences by letting AI remember everything

Across two locations, follow-ups lived in each coach's head. Now the assistant remembers and puts the to-do before the coach on the day, giving the member, in the owner's words, a little win.

Where they started

Almost every studio runs member contact on a WhatsApp Business number, a phone, an email inbox and a separate management system, so what one coach answered the others cannot see. When we first sat down with the owner of this movement studio, communication was spread out in the same way. They shared one phone with the WhatsApp Business app for both locations, and each of the coaches did two days of admin work. When Health Planner flagged a five-week check-in, a coach opened Trainin to check attendance by hand before replying. The owner was basically the one checking everything all the time to make sure nothing got lost, leaving the studio dependent on his personal routine.

When multiple coaches called leads, no one knew what stage a contact was in. If a coach called a lead with no answer, they left it at that, and later another coach called again without knowing anyone had already tried. What surprised us was how much follow-up lived only in someone's head. For example, if a lead wanted a day or two to think and that coach was off, nobody knew. Another situation is when a member pauses for a holiday, so someone has to remember to check in a month or two later. And one coach also complained that he had to remember that a member had mentioned he might switch to a more expensive plan in three months, depending on how it went. Nothing was written where the other coaches or the other location could see it, so if the one coach forgot, nobody followed up, and the sale or the member was lost without anyone noticing.

When several people are calling leads, they need to know what stage a lead is in. Otherwise I call, there is no answer, I leave it, and later another coach picks it up and calls again. We needed a way to see straight away what had happened, and we just didn't know.

The owner wanted his team to focus on human connection during sessions instead of processing admin, and he wanted every coach to see exactly what happened to a lead or a member. If you operate a studio, having details shared only from person to person leaves every follow-up vulnerable. Relying on memory across two locations did not work.

What we set up

When we went live in March 2026, we switched on the inbox where WhatsApp messages and emails sit in a single thread for each member, beside visits, bookings, classes, no-shows and cancellations, so whichever coach opens a conversation sees the whole history. The inbox, the task board and the assistant are the product; what we set up for this studio was the Trainin connection, follow-up rules set with the owner and onboarding the coaches. We carried over the studio's existing WhatsApp number with its history and connected the mailbox on the go-live call.

When leads and members write in, the assistant reads the conversations and writes follow-up tasks on a task board so coaches do not hold a pipeline in their heads. If a lead is left without an answer, or asks to think it over and come back on a day, the assistant creates a task that stays hidden until the day it is due. It does the same when a member pauses for a holiday and returns in a month or two, or mentions moving to a more expensive plan in three months. Every coach sees their own leads and members, and the open tasks, split by location so it is clear who answers what, and when an answer is needed, the assistant proposes the reply for the coach to decide and send. Having every message and task in one place means nothing a lead or a member writes gets lost.

An illustrative lead. The name, number, address and messages are invented.

What changed

Before, follow-up depended on what each coach could remember. Now the assistant remembers for them. In about half a year, the conversations produced 410 things to do out of 5,416 messages leads and members sent, like a lead to write to on the day he named, a member to check in on when her pause ended, or a member to ask about the unlimited membership when he was ready. That is more than anyone can keep in their head, so the assistant kept every one of them and put it in front of the coach on the day, and each one that landed was, in the owner's words, a little win.

Before: 5,416 messages, far more than one head can hold. Now: the same messages in order, held by the assistant.

The member's whole history and context stay with the assistant, so when a follow-up is due, the coach already knows what to do without rereading anything, asking a teammate or searching the channels. On the day it is due, the assistant writes the task on the board as the reminder. Of the leads, none are left unanswered now, and nobody calls the same lead twice by mistake. The unified inbox allows the team to collaborate easily and execute fast.

That leaves the coaches free to give their attention to the people in the studio, which is what the owner hired them for. Having follow-up depend on memory across two locations is over.

What it means for the studio

When a lead asks for time to decide, a coach writes back on that day, so fewer leads go cold between the first message and the sale. A member who mentioned the unlimited membership is asked when he said he would be ready, instead of being forgotten. And when someone pauses for a holiday, a coach checks in when she said she would be back, instead of quietly not returning.

We like that the communication channels are combined, it's very clear and easy to work with. The to-dos that pop up are relevant most of the time, and always lead to a 'little win' experience for our members.

The next step for the studio is letting the assistant take some follow-ups itself instead of only reminding.

For a studio like this

  • Studios or small chains where leads and members write on WhatsApp and email, and several people answer across one or more locations.
  • The condition: people who already message you on WhatsApp or email, and a management system the inbox can read.
  • The first step: a short call to set up your test together on your number and mailbox, so you see your lead land in one thread with the follow-up the assistant writes, on your business, not sample data.
