There’s always something wrong with your booking platform. You keep working around things.
We lose a lot of people in onboarding, and we don’t control it.
Everything is emotion and nothing is data. I lack the data.
To get one number I have to run three reports. And they don’t even show names.
What do I lose when I lose a member? I work that out myself in Excel, because I can’t ask the system.
Give them credits, book them into classes, schedule the check-in, add the files. We don’t want to be busy with all that. We want to coach people.
I’m getting crazy about it. I want it all in one.
In this phase of scaling up, a lot is changing. We simply don’t have the knowledge for that.
Who is responsible for the website? Who is connected to the ads? We do not have anyone who owns that.
Traditional booking systems keep your gym running. Growing it was never their job.
You look for other tools to help you set up your process. But no tool fits every business, so you have to fit your business to the tool.
You end up juggling many tools to carry a member from first click to word of mouth. But there are still gaps and there’s no one place to see what works and what doesn’t.
Regymo works as your technical partner.
It connects what already works in your gym, builds the processes that turn it into growth, and adds visibility, so you always know what works and what should be improved.
“You buy the subscription and then you’re off. Good luck.”

How we work
You know your gym; we know the systems. We agree on the goals, build what it takes, and stay on it until the results are there.
- 01Tell us what’s not working, or what you want more of.A conversation, free
Some gyms want more leads, some want to know why members quit. We talk until the goal is concrete enough to build for.
That goal is what everything later gets measured against.
- 02We build it around the way your gym already runs.A fixed number of weeks
Your booking system, WhatsApp and website stay where they are. We build the processes that run between them: the lead who writes in, the days after the trial, the first weeks. You set up nothing.
Every process reports on itself, so you see it working.
- 03You end up with one system that works for your goals, and one point of contact.Month by month
The goal stays on top, and every process under it shows its number. When one slips, we change it, and you see the change the next month. And when you have a question, you ask a person who knows your gym, not a support desk.
Stop at the end of any month. No notice period, no exit fee.

Are we closer to the goal? Where do we still lose leads?
Yes. 9 of 38 leads joined this month, 5 in June. The biggest leak is after the trial: 19 came, 9 joined, and 7 of the other 10 stalled at choosing a membership.
Who is about to leave?
7 members have not been in for three weeks, down from 10 a month ago. Lisa was one of them and came back after the message on Tuesday. The other 6 are in the list, with their last visit.
How do I earn more from the members I already have?
11 members asked about personal training this month, 6 bought it. The 5 who did not: three asked about price, two about times. Worth one follow-up each.
Are the ads worth the money?
€180 spent, 11 trials, 4 members. That is €45 per member, your average is €62. Google and walk-ins brought 14 of the other leads for free.
I like that with Regymo we can now see and use data we couldn’t easily get from our system before, which helps us adjust our approach.
When do you need us?

Growth has a technical step in it, and nobody on the team owns it.
“In this phase of scaling up, we simply don’t have the knowledge.”
- 02
You keep hearing what AI can do, and nobody can tell you what it would do in your gym.
Knowing what is possible is a job in itself.
- 03
Every tool has a vendor, and nobody answers for the whole.
Someone technical has to own the outcome.

Questions owners ask
Do we have to migrate to a new platform?
No. We start from what you use today, and staying on it is the default. If we ever advise a change, we say why, in numbers, and the decision stays yours; if you say yes, we handle the migration ourselves. Most of our work runs on the platform a gym already has.
Do we get software from you?
Yes, part of it. Modern processes almost always run on software, so we look at what you already use and build on that. You never have to replace anything; when we think you need a tool, we bring it on top. The pieces we almost always bring are the WhatsApp connection and the link to ChatGPT, Claude, or another AI; the rest we add when a problem fits. And if you end up liking our tools more, you can always switch.
Check out our tool belt The AI agent for gymsWhat does it cost?
The growth snapshot is free, with no obligation, and it shows you what is actually happening in your gym and what to fix first. After that there is one subscription, and the price follows the work: in the months we are putting processes live, it is higher; once they just run, it drops toward the cost of the tools that keep them running. We answer for the results the whole way, and you can still stop at the end of any month.
What is the growth snapshot? How long until a process runs live?
Putting a process live takes two to three weeks on average, and that includes connecting the tools and training your team. The exact number of weeks depends on the process and your systems, and it is agreed up front.
What happens if we stop?
You can stop at any time, with no notice period and no exit fee. At the start of an engagement we agree on the processes to fix and the outcomes they should bring; the goal is a gym that runs without you standing in it, so you work on the business instead of in it. Each process starts paying for itself as it goes live, so most owners simply stop when the list is done. Any of our tools you keep continues as a subscription; beyond that there is nothing left to pay.
Which systems do you work with?
Any system your gym runs on; most have an official way in, and we adapt to what you prefer. A few our clients run on today: Virtuagym, Bsport, Trainin’ and Mindbody on the membership and booking side, with WhatsApp, email, Instagram, Google Calendar, Stripe, Mollie, Exact, and the ads on Meta and Google around them. If yours is not in the list, ask anyway.
Who will we be working with?
Directly with the founder and a small team. We give boutique attention, which means few clients at a time and senior attention on each. And we do not delegate, in software, in processes or in support, so you never have to explain your gym twice.
Where are you based?
In Zoetermeer, the Netherlands. We are a Dutch company, and we work with fitness businesses across Europe.
Tell us where your growth is stuck.
We can focus more on our members and we see a big improvement in our retention and churn. More active members than we used to have!
