Will an AI receptionist annoy my members?

No. Members do not mind an AI receptionist that says it is an AI and sticks to getting things done. What annoyed people early on was AI pretending to be a person. You see that less and less. Saying up front that a message comes from an AI is now common practice, and in the EU it has been a legal requirement since August 2026. A member who sees that label expects a quick answer, a booking or a reminder, and gets it.

It turns annoying when the same AI steps into a conversation a member wants to have with a person: asking how their injury feels, or congratulating them on a personal best.

Won’t members just ask for a person anyway?

Some members will ask for a person, and a good setup puts a person one message away. Everyone else gets their answer in seconds. In practice that group is small: at a boutique studio in the Netherlands we work with, 4 of the 110 people in 152 WhatsApp conversations asked to talk to a person.

Will an AI receptionist sound robotic?

Not if it writes in your gym’s tone and answers from your real timetable, prices and policies. It doesn’t need to sound human, because it tells members it’s an AI. What members judge is whether the answer is clear, friendly and right. Generic wording is what sounds robotic.

What happens when the AI can’t answer a question?

When it doesn’t know the answer, it tells the member so and passes the conversation to someone on your team, with the chat so far attached. The member doesn’t have to repeat anything, and your team sees the question and what was already said.

Some conversations go to a person even when the AI could answer them, because your own rules say so: an injury, a member’s progress, and whatever else you decide, such as a refund or a membership pause. At a boutique studio in the Netherlands we work with, about a third of 152 WhatsApp conversations went to the team, mostly because of the studio’s own handover rules.

Will an AI receptionist quote the wrong price?

Not if it’s built well. A good AI receptionist doesn’t come up with prices itself: it repeats them only from your price list, website or booking system, and when it can’t find one, it tells the member it will check and passes the chat to you.

The same goes when your own pages disagree, say one page of your website shows last year’s price and another shows this year’s: a good tool asks you which one is right.

Can an AI receptionist book classes and trials, or only take a message?

Yes, when two things are true: your booking system lets outside tools make bookings, and the AI receptionist is connected to it. Then the AI can book, move and cancel classes and trial sessions itself. When one of them is missing, it still answers straight away and sends the member your booking link, or passes the request to your team with the details already filled in. Ask your booking system’s support whether it lets other tools make bookings (they may call it an API or an integration), and ask the AI receptionist provider whether it works with your booking system.

Either way, the reply should come fast. When a 2011 Harvard Business Review audit sent a web enquiry to 2,241 companies and timed the replies, this is what happened:

What changes for my front desk staff?

The AI takes over general questions on WhatsApp and email, and your staff keep the work that needs a person. How much changes depends on what they do today. If their messaging work is answering general questions, the AI can take that part over completely. In the first weeks, your staff’s job with it is to answer the messages the AI hands to them and to add those answers, so it knows them next time. After that, the AI answers the messages on its own, and your staff keep the side of the desk that happens in person.

If your front desk or your trainers also run retention or accountability programmes, such as following up with members who stopped coming, those conversations stay with a person. The AI can help your team run them, but the member or the lead is talking to someone from your gym.

Is an AI receptionist worth it for a gym my size?

Whether an AI receptionist is worth it depends on how many enquiries arrive when nobody can answer, not on your member count. You already have that number in your call log and message timestamps. If your team already answers almost every message quickly, evenings and weekends included, an AI receptionist adds little and you can skip it for now.
