The short answer
Joining the Platform is free. The messages are not: since 1 October 2026, Meta charges for replies too. You can keep the app on the same number when you add it.
It is 18:10. You are coaching the evening class, the gym's phone is on the desk, and three members have asked about Thursday's spots. Nobody will read those messages until the class ends.
That is the whole question. The app counts phones, not messages. The Business Platform is what lets a team, an AI chatbot and reminders answer on your gym's number. Below: the difference, the signs your gym has outgrown the app, and what moving costs, from Meta's own rules.
The app and the Platform side by side

| WhatsApp Business app | WhatsApp Business Platform | |
|---|---|---|
| Who answers | Whoever holds the phone or a linked device | Your team in one inbox, and an AI chatbot if you want one |
| Automation | Fixed greeting, away message, quick replies | Automations connected to your booking system, an AI agent, handover to staff |
| Messages outside a conversation | Sent by hand | Approved templates, to members who opted in |
| Cost | Free | Meta charges per message, plus the software |
Meta itself describes the Platform as tools that let "medium and enterprise businesses" talk with customers "at scale". Your gym does not need to be large. It needs a second person, or no person, answering.
What the free app still does well
For a gym where the owner answers every message, the app is a good tool, and it costs nothing.
It runs on one phone plus up to four linked devices, such as a laptop at the desk. So up to five people can see and answer the chats.
It also has three useful automations:
- Greeting message: sent when someone writes for the first time, or after a long quiet spell.
- Away message: sent outside the hours you choose, so a late message gets an answer that you will reply in the morning.
- Quick replies: saved texts for prices, the address or parking, which a person picks and sends.
If one person answers and that works, stay on the app.
What the app cannot do is read the question. The greeting says the same thing to a lead asking about a trial and a member cancelling a class. Nothing books, reminds or follows up by itself.
Signs your gym has outgrown the app
Two signs decide it: more people need to answer, or something needs to happen without a person. Tick what fits your gym.
More people need to answer (a team problem)
- You can't tell who is handling which chat.
- Two people answer the same member, or nobody does, because a chat cannot be given to one person.
- You are out of linked devices.
Something needs to happen while nobody is free
- Chats are missed while you coach, or after closing.
- You want an AI chatbot to answer from your timetable and prices.
- You want class reminders or trial follow-ups to go out by themselves.
If you ticked none, the app still works. If you ticked only team signs, the Platform gives your team one inbox. If you ticked any "nobody is free" sign, only the Platform solves it. Follow-ups that go out by themselves are laid out in a follow-up plan for gym leads.
A salesperson saying "you need the API" is not a reason to move. A missed trial lead at 21:00 is.
What changes on the Business Platform
You do not download the Platform. Software connects to it, your own or a partner's, and gives your team one inbox on your gym's number. That software is where an AI chatbot, handover rules and reminders live.
Three of Meta's rules change how you message members.
The 24-hour window. When a member writes, you can reply freely for 24 hours. After that, only a template Meta has approved can go out, such as a class reminder or a trial follow-up.
Opt-in. Templates go only to members who agreed to hear from your gym, and the opt-in has to name your gym and what you will send.
AI on the Platform. Meta's terms for the WhatsApp Business Platform bar general-purpose AI assistants, the kind people chat with about anything, from the Platform since January 2026. An AI chatbot that your gym's software provider runs to answer members about your gym is allowed.
What it costs
- There is no fee from Meta to join the Platform.
- Since 1 July 2025, Meta charges per delivered message, by message type and the member's country.
- Since 1 October 2026, replies inside the 24-hour window are charged too. They were free before.
- If you keep the app on the same number, messages you type in the app stay free.
- The software that runs the Platform charges on top.
Most comparisons still say replies are free. Meta's own page says otherwise: "Effective October 1, 2026, Meta will charge for service messages, which have not been charged since November 2024".
So the Platform costs twice: Meta's messages and the software. Weigh that against the trial leads missed while you coach.
How a gym moves over
You do not have to give up the app to move. Meta lets a number that is already on the WhatsApp Business app be connected to the Platform as well, which it calls coexistence. You keep answering from your phone, and your contacts and the last six months of chats come along. Three things change in the app: broadcast lists and disappearing messages stop working, linked devices have to be linked again, and the connection drops if the phone is not used for about two weeks.
- Decide what comes off your plate. Routine questions after hours, class reminders, trial follow-ups, or all three.
- Choose the software or partner. It connects the Platform and gives the team one inbox. You do not need a developer for this.
- Write your templates and collect opt-in. Reminders and follow-ups need Meta's approval and members who agreed to receive them.
- Set the handover rules. Decide which conversations always go to a person, such as refunds or a membership pause, and who picks them up.
If an AI chatbot will answer, test it on the questions your members really ask before it goes live. The guide to testing a gym AI chatbot covers what to ask it. If your team would rather send every message themselves, read AI agent vs AI assistant first.
Regymo runs on the official WhatsApp Business Platform, on your gym's own number or one we provide. WhatsApp and email come into one inbox for your team. You can automate anything and connect it to your booking system, so when something happens there, a message goes out by itself. The WhatsApp Business app can't do that, and neither can the AI assistant Meta provides. The AI agent is optional: you can let it answer for you only at night, for example, and it hands over to your team when a person is needed.
Questions people also ask
Is the WhatsApp Business API free?
Joining is free, the messages are not. Meta has charged per delivered message since 1 July 2025, and since 1 October 2026 it also charges for replies inside the 24-hour window. The software that runs the Platform has its own price on top.
Do I need the API for an AI chatbot or automatic reminders?
Yes. The app only has a fixed greeting, an away message and quick replies a person sends. An AI chatbot answering on your gym's number, and reminders that go out without a person, need the Business Platform.
Can more than one person answer on the free app?
Yes, on the phone plus up to four linked devices, all as the same account. You cannot give a chat to one person, so two people can answer the same member, or both can assume the other did.
Can the WhatsApp Business API get our number banned?
Not for using it. Meta restricts numbers for spam and policy breaches, stepping from warnings to temporary limits to disabling the account, and members blocking or reporting you lowers your number's quality. A gym answering its own members, with reminders they asked for, is the use the Platform is built for.
Can I use the WhatsApp Business app and the API on the same number?
Yes. Meta lets a number that is already on the WhatsApp Business app be connected to the Platform as well, which it calls coexistence. You keep the app on your phone, your contacts and the last six months of chats come along, and messages you type in the app stay free. Broadcast lists and disappearing messages stop working in the app.
