In short
For a gym, WhatsApp Business comes in two versions. The free app on a phone is enough while one person answers. The WhatsApp Business Platform (what people call the API) is what lets a team and an AI agent answer on the gym's one number. Meta's rules decide what you may send and when, and the law in your country decides when an offer needs a yes. Coexistence lets a gym keep the app while it adds the Platform.

Two ways to run WhatsApp at a gym
A gym can use the free WhatsApp Business app on a phone, or the WhatsApp Business Platform, which software connects to.
The app runs on one phone plus up to four linked devices. Its automations are fixed: a greeting for a first message, an away message outside your hours, and quick replies a person picks and sends. None of them reads the question. Nothing books, reminds or follows up by itself.
The Platform has nothing to download. Software connects to it and gives your team one inbox on the gym's number. That software is where an AI agent, handover rules and reminders live. Meta charges per message, and the software has its own price.

Two signs decide between them: more than one person needs to answer, or something must happen while nobody is free. If one person answers and that works, stay on the app. The side by side, the signs and the costs are in WhatsApp Business app or API: which your gym needs.
When a team shares the number
On the app, every linked device sees every chat and no chat has an owner. Two people answer Lisa with two different prices, or everyone assumes someone else answered her Saturday message. Meta sells chat assignment inside the app on paid plans, though not in every country. A shared inbox on the Platform gives each chat a status, so the next shift sees what is still waiting. Read how a gym team shares one WhatsApp number before you add a fifth screen.
If chats wait while you coach, that is the moment for an inbox on your own number. Regymo's AI agent runs on the official WhatsApp Business Platform on your gym's own number. It answers routine questions, hands over to your team by your rules, and each chat shows whether the AI or the team has it.
What you can automate: answers, reminders, offers
On the Platform, three kinds of message can go out without a person, and each meets a different rule:
- Answers. A member or lead writes, and gets a reply while the 24-hour window is open. An AI agent may send it, as long as there is a clear way to reach a person.
- Follow-ups on something the member did. A reminder of a booked class, a message after a missed trial, a question about a failed payment. Meta calls these utility templates: written once, approved by Meta, sent when the window has closed.
- Offers. A class pack, a renewal, an invitation to a member who stopped coming. Meta calls these marketing templates.

A sequence is these templates in a row, set off by something that happened: a booking, a no-show, a membership that lapsed. Each step keeps its own category, its own opt-in and its own price.
Gym WhatsApp playbooks list renewal reminders and win-back messages as if they were service, but Meta says attempts to renew a subscription are marketing, "even if requested by users", and a utility template that carries an offer is moved to marketing. Inviting a lapsed member back is marketing too.
Before you automate anything, sort what you send into these three. Then get two or three utility templates approved before you need them: Meta's review can take up to 24 hours. If an AI agent will send the answers, test it before members see it.
The rules that decide what you can send
Meta's rules
- The 24-hour window. After a member's last message you can reply freely for 24 hours. After that, only an approved template can go out.
- Opt-in. Templates go only to people who agreed to hear from your gym, and the opt-in has to name your gym.
- Price. Since 1 July 2025 Meta charges per delivered template. Since 1 October 2026 replies inside the window are charged too.
- Restrictions in steps. Spam, templates in the wrong category and many blocks or reports lead to limits, up to a disabled account.
- AI. Since January 2026, Meta's WhatsApp Business Solution Terms bar general-purpose AI that answers on any topic. An AI agent answering for your gym about your gym is allowed.
When the window has closed, what you send next is in the WhatsApp 24-hour rule, and what to send after it.
The law on offers
WhatsApp is usable under the GDPR. What you send decides it. Answers and membership messages run on the contract with the member. Offers need a yes first. Current members may get offers for your own similar services, if they can say no from the start and in every message; in the UK, someone who signed up for a free trial counts too. In the US, ask everyone for a yes before offers: the rules for marketing texts have no members exception, and whether they cover WhatsApp is unsettled. WhatsApp's own opt-in rule sits on top of the law everywhere.
Keep the chats on one gym number, not on staff phones. This is general information, not legal advice. The details differ per country, so check your national regulator; the EDPB lists them for the EU. The detail, with a table per kind of message, is in WhatsApp and the GDPR: when a gym needs consent.
Keeping the app on the same number: coexistence
Yes, a gym can keep the WhatsApp Business app and use the Platform on the same number. Meta calls this coexistence and has supported numbers in the EU, the EEA and the UK since 23 October 2025.
A provider connects the number through Meta's signup flow, and you confirm in the app, which needs version 2.24.17 or later. Contacts and the last six months of one-to-one chats can be synced; group chats are not.
| What changes | |
|---|---|
| The phone and its chats keep working | Linked devices have to be linked againWhatsApp for Windows and WearOS stop working with the number |
| Messages sent from the app stay free | Messages sent through the Platform are charged and follow the 24-hour window |
| Software on the Platform answers on the number members already have | Broadcast lists become read-onlydisappearing messages, view once and live location go off in one-to-one chats |
| No full move, so no lost history | The link drops if the phone is not used for about 14 days |
The alternative is a full move from the app to the Platform. That deletes the app's message history, so Meta says to back it up first.
Decide whether the phone or the Platform inbox is the desk before you switch on coexistence.
Why WhatsApp, and where members already use it
Members need no new app and no new habit to reach you: in 2025, 82% of people aged 16 to 74 in the EU used instant messaging such as WhatsApp, and in the UK WhatsApp is used by 90% of adults online.
Questions people also ask
Is WhatsApp Business free for a gym?
The app is free. On the Platform, joining is free but the messages are not: Meta has charged per delivered template since 1 July 2025, and since 1 October 2026 it also charges for replies inside the 24-hour window. The software that runs the Platform has its own price on top.
Can I keep the WhatsApp Business app and use the API on the same number?
Yes. Meta calls it coexistence and has supported numbers in the EU, the EEA and the UK since 23 October 2025. Messages sent through the Platform are charged, and linked devices have to be linked again.
Can a gym send marketing messages on WhatsApp?
Yes, as marketing templates to people who agreed to receive offers. In the EU and the UK, current members may get offers for your own similar services if they can say no from the start and in every message. Renewal reminders and win-back messages count as marketing too, and members can stop a business's offers inside WhatsApp.
What is the disadvantage of using WhatsApp Business?
On the free app, no chat has an owner, the automations cannot read a question, and the number is limited to one phone and four linked devices. On the Platform, Meta charges per message, you need software to use it, and after 24 hours only approved templates can go out.
Is WhatsApp allowed under the GDPR for a gym?
Yes. What you send decides it: answers and membership messages need no marketing consent, offers need a yes first, or for current members a clear way to say no. This is general information, not legal advice, and the details differ per country.
