Speed to Lead for Gyms: How Fast Should You Reply?

How fast a gym should reply to a new lead, how to time your own replies, and how to make the first reply instant on WhatsApp, your website and the phone.

Ask your AI about this guide

The short answer

Yes While you are open, reply within minutes. When you are closed, let an automatic reply answer straight away, or reply first thing when you open.
No A “we’ll get back to you” does not count as a first reply, even when it goes out instantly. The first reply has to answer, ask one question back, offer a time or give a link.

What to send next is in the messages after the first reply.

It is Sunday, 21:04. Lisa Jansen wants to start training. She sends the same WhatsApp to three gyms: “Hi, do you have a beginners class this week?”

At 21:05 one of them answers with a class, a time and a question back. The other two still show two grey ticks. When they reply on Monday morning, Lisa is already talking to the first. The time between an enquiry arriving and your first reply is your speed to lead.

How fast should a gym reply to an enquiry?

While you are open, reply within minutes. Minutes means what a person on shift can manage between two tasks.

The bar is low. In tests a gym software company ran in 2024, gyms took about eight hours on average to answer an emailed enquiry, and about four in ten got no answer at all.

On WhatsApp, writing to a second gym takes a few seconds, so the first useful answer tends to win the conversation.

Lisa Jansen’s WhatsApp chat list on an Android phone at 21:10 on a Sunday, under the search field and the chips All, Unread 1, Favourites and Groups. At the top, Your gym at 21:05 with one unread message, which reads in full “Hi Lisa, yes: Strength for beginners is on Thursday at 19:00. Have you trained before?” Below it, two chats shown only as phone numbers, +31 6 52 19 63 08 and +31 6 37 75 02 14, both last updated at 21:04 with her own message, “Hi, do you have a beginners class this week?”, and two grey ticks, so it was delivered and nobody has replied. Older chats with two friends sit below in grey. Beside the phone: answered at 21:05; delivered at 21:04, no answer; when the other two reply on Monday morning, Lisa is already talking to the first.
Figure 1. At 21:10 one gym has answered Lisa, and two have not.

Nobody expects you to answer from bed. If your slow replies happen mostly at night, the ways to cover the evening are compared side by side.

How do you measure your own reply time?

Time your last 20 enquiries from your own messages and call log, with open and closed hours kept apart. It takes an evening.

  1. Scroll back to your last 20 enquiries on every channel, calls and trial sign-ups included.
  2. Note when each arrived (their first message, if they sent a few) and when the first reply that answered it went out.
  3. Work out the minutes for each.
  4. Split them into open hours and closed hours.
  5. Take the middle value of each group, so one slow weekend doesn’t skew it.
  6. Do it again next month.

Count the enquiries nobody answered separately, since they have no reply time to measure.

The two numbers point to different fixes. Slow while you are open usually means nobody owns the phone between classes. Give the gym’s WhatsApp and phone to one named person per shift. Slow while you are closed means the first reply waits until you open, and that reply can be sent for you.

How do you make the first reply instant?

Let the first reply send itself, and make it say something. If someone at your gym already answers within minutes while you are open, keep it that way. For the minutes nobody can cover:

  • A form on your website: an automatic first message the moment it arrives.
  • A call: an AI that picks up while you coach, says up front that it is not a person, and can send a booking link on WhatsApp during the call.
  • A chat on WhatsApp or your website: an AI agent that answers it. Without one, a fixed greeting with your timetable or booking link in it still moves things on, and the free WhatsApp Business app sends one to anyone who writes for the first time.

The reply to a form can go out on WhatsApp, as long as the form has a line where people agree to hear from your gym there.

Regymo’s AI agent for gyms answers a WhatsApp or website chat enquiry in under a minute, once the person stops typing, from your gym’s own information. It decides what it can answer itself and hands the chat to your team when a person is needed. Depending on which tools are connected to it, it can also book them a trial.

An instant answer that is wrong is worse than a slow one, so test an AI agent first with ten checks to run before leads see it.

Ask it what leads ask first

Send it the question your leads ask most and see what comes back.

Questions people also ask

Is an instant automatic reply plus a personal reply within a day good enough?

Yes, if the automatic reply already answered the question or offered a next step, such as a link to book. If it only said you would be in touch, a day is too long for a lead who wrote to several gyms.

What if a lead messages while I’m coaching?

Finish the session and let an automatic first reply go out without you. Read the chat between classes and take it from there yourself.
